What Type of Information we have

We currently collect and process the following information:

  • Emails to GMMayoralElections@greatermanchester-ca.gov.uk This includes name provided, email address that the email was sent from and the contents of the email which may or may not include other personal information provided by the sender.
  • Google Analytics

When you visit www.gmelects.org.uk, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out such things as the number of visitors to the various parts of the site. This information is only processed in a way that does not directly identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

How we get the Information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

When you contact us to make an enquiry, we collect information, including your personal data, so that we can respond to it and fulfil our regulatory responsibilities.

The lawful basis we rely on to process your personal data is article 6(1)(e) of the GDPR, which allows us to process personal data when this is necessary to perform our public tasks as a regulator.

If the information you provide us in relation to your enquiry contains special category data, such as health, religious or ethnic information, the lawful basis we rely on to process it is article 9(2)(g) of the GDPR, which also relates to our public task and the safeguarding of your fundamental rights. And Schedule 1 part 2(6) of the DPA2018 which relates to statutory and government purposes.

What we do with the Information we have

We use the information that you have given us in order to respond to your email.

In most cases the emails will be answered from a GMCA member of staff, but there may be occasions where we need to seek advice from an external organisation. If you do not want us to do this, please state this in your email.

 It will be unlikely that we will need to share any personal information when seeking this advice – however, should we need to, we will ask your consent before we forward it to an external organisation.

We may add your enquiry to our ‘frequently asked questions’ record so we can answer future enquiries more efficiently. This record does not include any personal information.

How we Store Your Information

The email you send us will be stored in the Outlook GM Elects mailbox, before being moved into an Outlook archive folder.

We will also keep a record of email enquiries on a spreadsheet which is saved in a secure drive. The only personal information that we record is your name and a brief description of the enquiry.

Once your email is resolved, we will dispose of any personal data no longer required within 12 months.  We will dispose of your information by permanently deleting it from Outlook and our network drives.

Your Data Protection Rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
